Administrative Assistant Intern | 22 West Media | SP26
Learning Outcomes:
- Build strong general office coordination, clerical, and hospitality management skills by supporting day-to-day front-desk operations, welcoming guests, and maintaining a professional office environment.
- Strengthen professional communication and customer service, including responding to inquiries in a courteous manner.
- Develop proficiency with Windows-based computer software (e.g., Microsoft Suite, Google G-Suite, Excel) and improve email-based contact practices.
- Gain leadership, interpersonal, and organizational skills.
Training:
- Comprehensive orientation on policies and guidelines.
- Multiple hands-on workshop training sessions.
- Additional training sessions specific to the job title.
- Participation in 20+ shows throughout the semester.
Tasks:
- Answer incoming telephone calls, greet visitors, and respond to inquiries in a courteous manner.
- Perform general email correspondence, digital and physical file organization, and necessary photocopying.
- Assist the Assistant Director of Student Media with calendars, meeting room requests, projects, and clerical support.
- Support preparation for biweekly meetings by organizing forms/materials and informing/reminding volunteers of upcoming events.
- Track office supply inventory and order office supplies for 22 West Media.
- Maintain organizational contact lists and record attendance as necessary.
- Make periodical contact with organization representatives to disseminate information and assist in distributing internal communications.
- Help maintain a clean and orderly work environment.
- Assist with clerical creation of general billing and sales paperwork; receive requests for computer service and record them in the help-desk database.
- Assist with equipment room organization and management.
- Some occasional heavy lifting may be required (up to 50 lbs).
- Provide event support (music festivals, film festivals, and DJ set setup).
- Perform other duties as determined by 22 West Media Student Leads and the Assistant Director of Student Media.
Internship Requirement:
To intern with 22 West Media, you must be a current student enrolled in an approved internship course for your major. Please ensure that you are registered for the appropriate course (such as CBA 493, KIN 494, CINE 492, JOUR 498, ART 442, COMM 492A) upon applying for internships. This helps ensure you receive deadline sensitive information from the internship course instructor regarding course requirements; it is easier to drop the course than it is to add it.
